04 — Process
Process
6 stages from the first conversation to ongoing maintenance. Each one sets out who is involved, what you get, and how long it takes.
01
Enquiry and first call
Duration: 1–2 days
We reply within one business day. The first call runs 40–60 minutes: what the problem is, what you have already tried, what the constraints on time and budget are. If it is obvious the work is not a fit for us, we say so on that call rather than two weeks later.
Who's involved
- Managing partner
- Project manager
What you get
- A clear read on the problem
- Budget and timeline range
- A yes or a no
02
Discovery and specification
Duration: 1–3 weeks
The analyst meets the people who will actually use the product, not only the person who signs off on it. We map the current process, document scenarios and draw the data schema. Sometimes the project changes direction here, and that is a successful outcome rather than a failure.
Who's involved
- Analyst
- Technical director
- Project manager
What you get
- Written specification
- Data schema
- Stage-by-stage estimate
- Sprint plan
03
Architecture and design
Duration: 2–6 weeks
Black-and-white wireframes first, because changes are cheapest there. Once the structure is agreed, visual design and a design system covering loading, error and empty states. Two rounds of revisions per step are included.
Who's involved
- Designer
- Art director
- Analyst
What you get
- Clickable prototype
- Layouts for every screen
- Design system in Figma
04
Development
Duration: 4–20 weeks
Two-week sprints. Each ends with a demo call and an updated staging environment you have access to. Tasks live in a shared tracker, so you can see status without asking the manager. A weekly email covers what shipped and what is next.
Who's involved
- Engineers
- Project manager
- Designer
What you get
- Staging environment
- Demo every two weeks
- Tracker access
05
Testing and acceptance
Duration: 1–3 weeks
We test complete scenarios rather than individual features. On larger projects that includes load testing and migrating real data into staging. You run acceptance against the scenario list from the specification, and we fix any gaps before launch.
Who's involved
- Engineers
- Analyst
- Project manager
What you get
- Verified scenario list
- Acceptance fixes
- Documentation
06
Launch and maintenance
Duration: ongoing
We deploy to production and set up monitoring, backups and error tracking. Everything found in the first month after launch is fixed free of charge. After that: a maintenance contract, or handover to your team with training.
Who's involved
- DevOps engineer
- Engineers
- Project manager
What you get
- A product in production
- Repository, credentials and documentation
- Monitoring and backups
- One month of free fixes
07 — Communication
How we communicate during the work
- A shared channel in Telegram or Slack, your choice, with the project manager and everyone working on the project.
- A demo call every two weeks, at the end of each sprint. The recording stays with you.
- Access to the task tracker: you see the status of every task without asking the manager.
- A weekly email: what shipped, what's next, and where we're waiting on a decision from you.
- Staging updates on every change, so you can look whenever you want.
08 — Payment
How payment works
- A 30 % deposit to start the discovery stage. We don't ask for the full amount up front.
- After that, payment on completion of each stage against a signed statement.
- Each stage's price is fixed before it starts, not at the end of the project.
- Changes to requirements are priced separately and agreed before any work begins.
- We work under contract with companies and sole traders, with full documentation.
